Learn how to do your daily route - HWIT Reporting

(0:11 - 0:28) Hi, today we’re going to do your route directly through the HomeWatch IT app. First, click on Reports to bring up your list of reports that we’re going to do today. Pick the report that you want to perform, click on it, and the report details will open up.

(0:28 - 2:28) At this point, simply hit the Open Report button to begin taking your report. When you open the report, you’ll see different sections. The first section is the different sections of the report, and you can see the interior, the landscaping, the exterior, and so on.

You can scroll this section, you can use it to pick what section you want to work on, and all of the questions below pertain to the section that you have highlighted here. The next bar controls what you want to look at. For example, you might want to look at the customer info.

So tap on that, this will bring up the customer details, and you can go in and look at the notes and whatever you need to. The next is the Report Info tab. This brings up the details of that particular report and the status.

The next is the Actions tab to list any open actions you might have for this particular customer. Finally, you have the AI button. We’ll talk about that at the end of this.

Now, the middle section is where you’ll actually answer the questions that pertain to the section that you have above. So you’ll see we can go through and we can just tap on the different questions and answer them. It’s really quite simple.

Down on the bottom, you have the ability to advance or go back to different sections, or you can optionally even skip an entire section. If we click the bottom section to advance to the next section, you’ll see this will take us now to the landscaping section. Let’s look at how to skip an entire section.

Say this house does not have a pool. So we’ll click on top to the Pool and Spa section. Then we will click the Skip Section button on the bottom, and you’ll notice that it now greys out that section completely and moves you on to the next section.

We can go back and forth by clicking the different sections, like to Landscape, and go through and answer the different questions. Now, let’s say we do have an issue. So we have two broken limbs from the storm that came through last night.

(2:28 - 5:52) So let’s go ahead and click on the issue side here to mark the fallen and broken limbs as an issue. And then you’ll notice below that you have the ability to add notes or photos. So let’s go and add notes.

We can open up the window here. We can type whatever notes we want. So we can say there were two broken limbs, you know, from last night’s storm, et cetera, et cetera, whatever you want to type in.

Go ahead and close this particular keyboard, and that note will now be embedded in the report. Next, we’ll add a photo. Click on the Photo button, and it’ll give you the choice of bringing up the camera, or if you’ve already taken photos, you can take them straight out of your photo library.

You can always take multiple photos or select multiple photos, no matter which way you want to add photos to the report. I’m going to click on Camera, and this will now open up for me my device’s camera. I can take the photo here, portrait.

I can actually turn the screen and go landscape mode. It doesn’t really do that here on this video, but you get the idea. You can add the photo.

Once you take the photo on the bottom, you’ll see it’ll say use photo or retake. Click use photo. Let me flip the iPad back over here so that you can read this easier.

There we go, and now the photo is embedded. You can add additional photos as you need to. You may have noticed it happened so quick here, but initially the thumbnail had a little cloud icon on it, and now it redrew the thumbnail without the cloud.

What this means is when it has the cloud, it has not yet synced the photo up to the cloud. Basically, you take the photo, it stores it on your device initially, and then it syncs it to the cloud whenever you have internet connection. So if you’re offline, you’ll see all of them will still have a little cloud with a line through it, meaning they have not yet synced.

They’re all on your device, and as soon as your internet connection gets restored, everything will sync automatically in the background so that you don’t have to worry about it. When the cloud icons disappear, you know, without the line through them, then you’ll know everything is synced, and it is important to note that your clients will not have a available link to look at the report until all photos have successfully synced. So you never have to worry about sending incompletes.

Let’s go ahead and finish this report off here just so I can show you how that part works. So we’ll go ahead and answer all of these questions. Of course, pool and spa we skipped.

Here on the thermostat, we can hit select answer. It’ll give us the different answers that we have added to our template. We’ll select that one at the inside temperature.

At the time of our visit, it was 78. Our thermostat was also set to 78, so we’ll fill that in, and let’s just go through and check the rest of these questions. Now, when we get to garbage disposal, they don’t have one.

So we’ll just click the skip button here, and it’ll skip over that question, and we can continue on. Skipped questions will not show up on the final report that your customer receives. They also don’t have a water softener.

We’ll skip that one. Let’s see. Garage door.

Noises. Yes, everything is good, and we’ll move on here. Pest infestations.

(5:52 - 6:52) We’ll click section to go to the next section, and yep, the car was driven. No plants, and let’s select an answer here for the mail. It was all junk, so that’s good.

We’ll click section, go to the last section. Here we can turn off the water main. You’ll notice it says required in the upper right.

This does mean you have to answer the question, and or you have to answer the photo. The required could be by the photo. So in this case, I don’t have the photo required, but I do have the question required.

Alarm is set, and you’ll notice now that the complete report button does appear. If the complete report button does not appear, it means that you have missed a question somewhere, and you can tell under the section headings that you have answered all the questions, so it’d be quite easy to go back and find where you may have missed a question that needed to be answered or that you need to answer. Once we have complete report, if you’re set up to sign, it’ll bring up the signature box.

(6:52 - 9:07) Click that, and now you’re done. At this point, it’s now double checking all the photos and syncing, and if they synced, the view report button will become active, and you’ll be able to click this and actually see the report as the customer would see it. If the photos don’t sync, then you’ll get a little message after about six or seven seconds that it’s going to, you know, continue trying to sync later, and it’ll continue to do so until it is able to sync, and you’re able to then send that report off to client.

Once you’re done here, click return to reports. This will take you back to your report list, and you can go on and do the next one. Now let’s try to do one with the AI kind of feature.

So we’ll pick one of the Bob McLaren reports here, and we’ll say open report. Now let’s go into the AI fill. Just click the AI fill button, and the system will open up a place where you can now put the prompt in to challenge your AI assistant to fill in the report.

Now you can either click here and type in the report, or in this case, I’m going to hit the little microphone button on my keyboard and dictate what I’d like for the report to say. So at this point, I’m going to dictate some instructions, complete the report, all satisfactory, except the pool level was low, and there was a wasp nest outside of the rear door. The interior temperature was 76, and the thermostat was set to 76.

Now at this point, I can pause that. I can go back and dictate some more. I can edit it with the keyboard.

Once it’s all ready to go, and I’m ready to send this to the assistant, just click the generate preview button. Note that you must be online in order for this to go to the AI. Once you hit generate preview, you can see AI is thinking about this, and after he’s done comparing your notes to the actual report, will bring up this preview.

(9:10 - 11:09) You’ll want to check the preview and make sure that he has answered everything satisfactorily as you would expect. If you look down the list, you can see that under visual pest infestations, it says issue, and it put in a note of wasp nest outside the rear door. So that’s great.

That took exactly the commands we gave it and filled it in. If you look down here under pool and spa, the pool level was low, and we have that marked as an issue. So that’s also great.

You’ll see the thermostat and the temperature settings were set based off what we gave it. So all good. Now if we scroll down, everything looks satisfactory.

You’ll see you have two choices to apply to unanswered only or to apply to everything. It doesn’t matter because we didn’t answer anything on here. It was all blank, so either one of these answers is fine, but we’ll just click the apply draft button, and when we do that, it will now take all of those detailed responses here and fill in your report for you.

Let’s scroll down and just see if it had marked things the way we expected. So if we go down here to the visual pest infestations, you’ll see it is marked as an issue. You’ll see that there’s a notes little icon there.

We’ll open that up and there’s our note that we saw earlier on the preview, so it filled that in properly. And we can go look at the rest if we’d like, or if we’re satisfied with it, we can just hit the complete report and finish it off as usual. Note that before you hit complete report, you probably want to add photos to the different issues.

You’ll definitely want to sign it when it’s done, and there you go. That’s it. Quite easy to do the reports either way with AI or without.
