Using Tags

Tags are simple, color-coded labels you can attach to your Properties and to attached files, so you can group and filter them however makes sense for your business — for example by neighborhood, key type, gate code, or any category of your own choosing.

Tags come in two separate lists, called scopes: one for Properties and one for Attachments. A tag you create for Properties will only ever show up when you’re tagging a property, and a tag you create for Attachments will only show up when you’re tagging a file. They don’t mix.

Open the property from the Properties list and go to the Overview tab. In the Location card, just below the Latitude and Longitude fields, you’ll find the Tags field.

  • Start typing to search the list of existing Property tags. Click a matching tag to add it.
  • If no matching tag exists yet, an option to Create the name you typed will appear — click it to create the tag and apply it in one step. New tags are automatically given one of the available colors.
  • To remove a tag from the property, click the x on its chip.

Tags on files work the same way, from the Attachments screen:

  • When you add a new file, the Add File dialog includes a Tags field — search or create tags there before you upload.
  • For a file (or folder) that’s already been added, click Edit in its row of the Attachments list. The Edit dialog includes the same Tags field, where you can add or remove tags.
  • The Attachments list shows a Tags column so you can see at a glance what’s tagged.

Once your company has at least one Property tag, the Properties list shows a row of tag chips near the top of the screen. Click a tag to filter the list down to properties that have it. Click more than one tag and the list narrows further, showing only properties that have all of the tags you’ve selected. Click a selected tag again to remove it from the filter.

Any user who can edit a property or attachment can create a new tag right from the Tags field on that record — you don’t need to go anywhere special to create one. Renaming, recoloring, merging, or deleting a tag, however, is an Admin-only function, done from the tag list itself:

  1. Go to Lists in your menu (Admin access required), then select the Tags tab.
  2. You’ll see two sections — one for Property tags, one for Attachment tags — each listing every tag along with how many items it’s currently used on.
  3. Click Edit next to a tag to open its edit screen, where you can:
    • Rename it.
    • Change its color by clicking one of the color swatches.
    • Merge it into another tag in the same list — every item tagged with this tag will end up tagged with the target tag instead, and this tag is removed. Use this to clean up duplicates or near-duplicate tags (for example, if “Pool” and “Pool Home” were created separately for the same thing).
    • Delete it — this removes the tag from every property or attachment it’s currently on. It does not delete the properties or attachments themselves, only the tag.

Other things to note:

  • Tag names are limited to 40 characters and can’t contain commas, slashes, or angle brackets ( < > ).
  • If you try to rename a tag to a name that’s already used elsewhere in the same list, you’ll be prompted to use Merge instead.
  • The Lists menu is Admin-only. Non-Admin users won’t see it, but they can still create and apply tags directly from the Tags field on any property or attachment they’re allowed to edit — they just can’t rename, recolor, merge, or delete tags from the central list.
